If your company adds or removes a lot of workspace members during a month, your Ruddr invoice for that month will look a little busy. The primary reason is that Ruddr adds lines to your invoice any time a workspace member is added or deactivated/removed. Similarly, there will be lines added if your workspace billing frequency is changed. As you will see below, the reason that you end up with a busy invoice with Ruddr is because we are continuously adjusting your spend such that you only pay for the billable workspace members that are active in your workspace. We ensure that you are never paying for idle seats that you don't need.
Billing Period
Within the Billing tab of Workspace Settings, you can select either a monthly or annual billing frequency. We provide a discount to customers who select an annual plan. At the end of each billing period (monthly or annual), you will see a charge at the bottom of your invoice for the billable workspace members for the next period. For example, if you are on a monthly plan and have 47 active billable workspace members, there will be a row at the bottom of your invoice that looks something like this:
This shows that you are subscribed to our Team Plan at $10 per billable workspace member per month. Note that your Team Plan price will be different than this simple example. It shows that you have 47 billable members for a total monthly fee of $470. Also, you can see that your billing period renews on the 5th of each month.
Adding a Workspace Member
Continuing with the example above, let's assume that you hired a new employee on December 6, one day after this billing period started. Rather than charge your credit card for each and every new member that is added to your workspace during the period, Ruddr adds those prorated charges to your next month's invoice. So, you would see two lines on your next invoice, as shown below:
The second line above provides a prorated credit for all unused fees for the current billing period. Since this new hire was added just one day into the new period, $457.08 of the original $470.00 is credited back to the account. Then, Ruddr adds a prorated charge for the full 48 billable workspace members for the remainder of the billing period. Every time a workspace member is added or deactivated/removed, you will see two lines that represent that event.
Note that if your workspace is on an annual plan, you will still see a monthly charge any time you add a workspace member. You will be credited for all unused fees for the annual plan and then you will be charged a prorated amount through the end of the annual period for the new number of workspace members.
Removing a Workspace Member
Let's assume that just after you added this 48th team member, you learn that the new hire actually took a job elsewhere and won't be joining your team. When you deactivate/remove the member from your workspace, you will see a prorated credit for the unused portion of the billing period for the 48 workspace members. Then, you will immediately have a prorated charge for the 47 workspace members through the end of the billing period.
Note that this scenario results in a credit on your account. You were credited $466.72 and immediately charged $456.99 which leaves a credit of $9.73. Any time you have a credit, Ruddr will use that credit in the next billing period where you have charges.
Changing the Billing Frequency
You are free to switch from monthly billing to annual billing, or vice-versa. You can make this change as often as you like.
When the billing frequency is changed from annual to monthly, you will first get a prorated credit for the remaining portion of the annual plan and then you will be charged a prorated fee for the monthly billing through the end of the monthly billing period. You will not be charged monthly fees until the residual credit is fully exhausted.
When the billing frequency is changed from monthly to annual, you will first get a prorated credit for the remaining portion of the current month's fee and then you will be charged for a full year's annual fee. Switching from monthly billing to annual billing will reset your billing period to the current day of the month.
