# Microsoft 365 Integration Setup

> Install Ruddr from Microsoft Marketplace, connect your organization to a Ruddr workspace, and manage the integration.

Ruddr is available as one app in Microsoft Marketplace. Installing it once for your organization makes three things available: the [Ruddr app for Microsoft Teams](/integrations/microsoft-teams-integration-overview), the [Outlook calendar integration](/integrations/microsoft-outlook-calendar-integration), and the [Microsoft 365 Copilot connector](/integrations/ai-connectors-microsoft-copilot-setup). Installing the app gives nobody access to Ruddr data on its own; members connect or link their own accounts afterwards.

There are two steps to follow:

1. [Install Ruddr from Microsoft Marketplace](#step-1-install-ruddr-from-microsoft-marketplace)
2. [Connect Your Organization to a Workspace](#step-2-connect-your-organization-to-a-workspace)

Microsoft Teams and the Outlook calendar need both steps. Copilot needs only the first; each member then connects from Copilot, as described in the [Copilot article](/integrations/ai-connectors-microsoft-copilot-setup).

#### Step 1: Install Ruddr from Microsoft Marketplace

A Microsoft 365 administrator installs Ruddr for the organization. The **Microsoft 365** widget in the [Integrations](/workspace-administration/integrations) area under **Settings** in Ruddr has an **Install** button that opens the listing (Figure 1), but the installation itself happens in Microsoft Marketplace and the Microsoft 365 admin center:

1. Sign in to Microsoft 365 as an administrator, open the [Ruddr listing in Microsoft Marketplace](https://marketplace.microsoft.com/en-us/product/WA200012456), and select **Get it now** (Figure 2).
2. Confirm your details and select **Get it now** in the dialog (Figure 3). Marketplace takes you to the Microsoft 365 admin center, where the **Deploy New App** panel opens with Ruddr in it.
3. Select **Next**, then choose who gets Ruddr under **Assign users**: **Just me**, **All users**, or **Specific users or groups** (Figure 4). Start with a few users if you want to try it before rolling it out to everyone.
4. Select **Next**, review the settings, and select **Finish deployment**. The panel reports **Deployment completed** (Figure 5).

Once deployed, Ruddr appears under **Apps** in Microsoft Teams for the members it was deployed to, each member has a personal chat with the Ruddr app, and Ruddr is listed as a data source in Copilot. It can take a few minutes to show up. The first time a member opens the Ruddr app in Microsoft Teams, Microsoft shows a one-time consent dialog for the app's permissions, which they accept.

#### Step 2: Connect Your Organization to a Workspace

A Ruddr Workspace Admin connects your Microsoft 365 organization to a Ruddr workspace once. The connection is created from the Ruddr app in Microsoft Teams, using a one-time link:

1. In Microsoft Teams, send the Ruddr app a message in your personal chat. Because your organization isn't connected yet, the app replies with a **Welcome to Ruddr** card. Click **Connect Ruddr to your organization** (Figure 6). The link works once and expires after 15 minutes.
2. The link opens Ruddr, where you sign in if you aren't already. Choose the workspace to connect in the **Workspace** box and click **Connect** (Figure 7). This connects your organization to the workspace and links your own Microsoft Teams account at the same time.
3. Ruddr confirms that the organization is connected to the workspace (Figure 8). Click **Go to Ruddr** to open the workspace, or close the tab and continue in Microsoft Teams.

Only a Ruddr Workspace Admin can connect an organization. If someone who isn't an admin opens the link, Ruddr asks them to have an admin connect it.

Throughout the integration, **connecting** always refers to the organization and the workspace, which a Workspace Admin does once, and **linking** always refers to a member's own Microsoft account, which each member does for themselves.

A workspace can be connected to one Microsoft 365 organization. If the workspace you choose is already connected to a different organization, Ruddr refuses the connection until a Workspace Admin removes the existing one (see [Removing the Integration](#removing-the-integration)).

If a link has expired, Ruddr shows a **This link has expired** page; if it was already used, a **This link has already been used** page. Send the Ruddr app another message to get a new link.

Once connected, **Microsoft 365** appears in the Active Integrations section of the [Integrations](/workspace-administration/integrations) area (Figure 9). Its **Settings** button opens the Microsoft 365 Settings drawer, which shows the **Connected Organization**, with who connected it and when, and the Microsoft Teams settings described in the [Microsoft Teams Integration Setup](/integrations/microsoft-teams-integration-setup) article.

#### What Each Offering Needs

| Offering | Install from Marketplace | Connect the workspace | Each member |
| - | - | - | - |
| [Microsoft Teams](/integrations/microsoft-teams-integration-setup) | Yes | Yes | Links their Microsoft Teams account |
| [Outlook calendar](/integrations/microsoft-outlook-calendar-integration) | Yes | Yes | Connects their calendar from My Profile |
| [Microsoft 365 Copilot](/integrations/ai-connectors-microsoft-copilot-setup) | Yes | No | Connects Ruddr from Copilot; needs the Ruddr Assistant feature and a Copilot license |

#### Removing the Integration

To disconnect your organization, click the **Remove** button on the Microsoft 365 integration widget (Figure 9) and confirm (Figure 10). Removing the integration disconnects your Microsoft 365 organization and removes the Microsoft Teams settings, project channels, every member's Microsoft Teams link, and every member's calendar connection. Time entries are not affected. Members aren't notified; the next time a member messages the Ruddr app, it replies with the **Welcome to Ruddr** card so the organization can be connected again. Copilot connections are separate and are not affected.
